When you want to set your Activity Capacity Limits based on resource usage, you will notice that there are two resource-related settings to choose from: By Resources and By Resources - Many. While both settings serve the same primary purpose of preventing timeslots from being oversold based on resource availability, there are a few key differences.

By Resources-Many is ideal when you have an activity using multiple resources and you're particular about how they are paired together. For example, if you're an axe throwing business who assigns throwing lanes for each party that books, you may need to assign multiple lanes depending on the group size. Given the layout of your location, you may prefer to pair specific throwing lanes together, such as Lane A and Lane B. If this is the case, By Resources-Many is your ideal capacity setting.

Use the table below to determine which setting to choose for each activity

Capability
By Resources
By Resources - Many
Prevent customers from booking a timeslot when all available resources for that activity have been assigned (e.g. "As soon as all of our kayaks are assigned for a specific timeslot, stop allowing customers to book our kayaking activity for that time")

Create specific resource pairing rules (e.g. "When a party of 15-20 people books our axe-throwing experience, they will need to be assigned to two throwing lanes. Instead of assigning them any two random lanes, only put them in Lanes A and B (which are right next to each other), or in Lanes C and D (which are also right next to each other")

Limit the number of booking parties who can check in at one time (e.g. "We have enough resources to host 100 travelers at once, but our team can only handle checking in 5 groups at a time. So, do not allow more than 5 groups to book the same activity for the same timeslot — regardless of how many people there are within each group.")

Setting Up By Resources-Many Capacity

Important Note

In order to use this capacity setting, you must first Create Resources & Resource Groups.

Step 1: Set your capacity to By Resources Many

  • Inside the activity editor, choose By Resource - Many capacity setting

  • Select Save

Step 2: Set Up Your Resource Usages

  • Select Resources on the left menu

  • Select each ticket type to set up the Resource Usage
  • In this example, we've selected our axe throwing Lanes A and B

  • Scroll down to Assign Resource Count. Here, you'll enter in the amount of resources that should be assigned when this ticket is purchased. If you enter in the number “2”, for example, then it will apply both Lane A and Lane B at the same time

  • If you decide to create multiple resource usages for a single ticket type, you need to decide whether all usage rules need to apply in order for the trip to successfully reserve.
    • Apply Rule All: Let's say you have a guide resource and a lane resource. You may require a guide to be available and a lane in order for the customer to book. If this is the case, you would set your Apply Rule to All
  • Apply Rule Or: If you are setting up multiple resource usages, but don't require both resources to be available in order for the trip to reserve, you can select the Apply Rule Or setting.

  • Select the amount of time the resource should be used for

  • Select Save

Beware of Booking Restrictions

If during checkout your team and/or customers are unable to select the maximum number of tickets defined by your capacity settings, there may be a contradictory booking restriction in place. To learn more, visit Why can't I add more tickets to a booking during checkout?‍
