How to Edit Capacity for a Single Date or Multiple Dates

Learn how to adjust the capacity of your activities for individual dates or a range of dates without affecting the default settings.

Editing the capacity of an activity for specific dates in TripWorks allows you to manage availability based on demand, special events, or operational changes. This flexibility ensures you can easily adjust the number of available spots for any given day without affecting the default capacity of the activity.

You may need to change the capacity of an activity for a single day or a range of dates for various reasons, such as:

  • Managing special events or large group bookings
  • Adjusting availability during peak or off-peak seasons
  • Handling temporary changes in staffing or resources

 

How to Edit Capacity for a Single Date

  1. Navigate to the desired activity by selecting More > Activity Catalog from the toolbar

 

  1. Choose the activity you want to adjust the capacity for 
  2. Select Dates & Times from the left menu 

 

  1. Select the timeslot you wish to modify to open the menu options
  2. In the “Override Capacity” field, enter the new capacity number

 

  1. Select Save 
  2. You will then see your updated capacity displayed in the “Capacity” column

 

 

How to Edit Capacity for Multiple Dates

  1. Navigate to the desired activity by selecting More > Activity Catalog from the toolbar

 

  1. Choose the activity you want to adjust the capacity for 
  2. Select Dates & Times from the left menu

 

  1. Check off the timeslots you want to modify
  2. Choose Edit Capacity 

 

Pro Tip 

You can quickly select all timeslots on the page by clicking the “All” column header:

 

 

  1. Enter your new capacity in the New Capacity box  

 

  1.  Select Save 
  2. You will then see your updated capacity displayed in the “Capacity” column

 

Important Note 

When capacity is set to “Resources,” you can still adjust the capacity for specific dates. However, you cannot exceed the base capacity. For example, if the resource’s capacity is 30, do not override it to a larger number, as this could result in overbooking.
