Custom Messages for Closed Time Slots

Custom Messages for Closed Time Slots

You can now set a custom message that customers see when a time slot is closed or unavailable. Instead of the date simply disappearing from your booking calendar, it stays visible with your message explaining why it's closed or what customers should do instead.

This replaces the generic "Closed" or "Not Available" text that customers previously saw. You control the exact wording.

How It Works

There are two behaviors depending on whether you provide a closure reason:

  • Closed WITH a closure reason: If all time slots on a date are closed and each has a closure reason, the date still appears on the booking calendar. Customers see your custom message instead of available time slots.
  • Closed WITHOUT a closure reason: If time slots are closed without a reason, the date is hidden from the calendar entirely. This is the same behavior you're used to — nothing changes for existing closures.

Important: The custom message only displays when all time slots on a given date are closed with a closure reason. If some slots are open and others are closed, the open slots show as normal and the closure reason won't appear.

Setting a Closure Reason

  1. Go to the Availabilities page for the activity
  2. Find the specific time slot you want to close
  3. Enter your message in the Closure Reason field
  4. Close the time slot
  5. Repeat for any other time slots on the same date, if needed

Once saved, customers browsing that date on your booking widget will see the closure reason you entered.

What Customers See

On your booking widget, the date still appears on the calendar as selectable. When a customer clicks on it, instead of seeing available time slots, they see your custom message. This keeps them informed rather than confused about why a date seems to be missing.

Common Use Cases

  • Weather closures: "Closed today due to weather conditions. Check back tomorrow or call us to rebook."
  • Seasonal notes: "This activity runs May through October. See our winter lineup for off-season options."
  • Call to book: "This date is available for private groups only. Call us at (555) 123-4567 to reserve."
  • Maintenance or special events: "Closed for a private event. We're back tomorrow with regular availability."

Tip: Use closure reasons strategically. If you close many dates without a reason, those dates disappear and your calendar can look sparse — giving the impression you're rarely open. Adding a closure reason keeps those dates visible and tells customers you're active, just not available on that specific day. It's a small detail that makes your calendar feel fuller and more professional.
