The TripWorks importer tool is designed to streamline the process of setting up your TripWorks account by allowing you to import data from a previous platform. This tool supports importing guest (passenger) information, activities, bookings, gift cards, and offer codes, ensuring a smooth transition to TripWorks.
How to Use the Importer Tool
Step 1: Prepare Your Data File
The importer tool accepts files that include guest information, activities, bookings, gift cards, and/or offer codes. It is important to ensure your file is in the correct format prior to importing by:
- Ensuring your data is formatted correctly and saved as a CSV file
- Verifying that each column in your CSV file matches the required data fields in TripWorks. Expand each option below to learn which data fields are required for each import type
Passengers (Guest Information)
You have the option to import or skip the following fields:
- Created
- Code
- Country
- First Name
- Last Name
- Phone
- Birthday
- Age
- Opt-In
- Address
- City
- State/Province
- Zip/Postal
- Country
Activities
You have the option to import or skip the following fields:
- Name
- Departure Point
- Location
- Restriction
- Capacity Type
- Availabilities
- Status
Bookings
You have the option to import or skip the following fields:
- Confirmation Code
- Created At Date
- Reserved At Date
- Sale Date
- Subtotal
- Promo Code Discount
- Total
- Paid
- Due
- Taxes & Fees
- Pax Count
- Source
- Customer
- Created By
- Method
- Location
- Country
- Reseller
- Type
- Experience Name

Gift Cards
You have the option to import or skip the following fields:
- Confirmation Code
- Gift Card Code
- Sold On
- Expiration Date

- Passenger Name

Offer Codes
You have the option to import or skip the following fields:
- Created Date
- Code
- Code Name
- Amount
- Percent
- Redemption Type
- Limit Advance Days
- Limit Minimum Bookings
- Limit Total Uses
- Limit Uses on Specified Weekdays
- Limit Use on E-commcerce
- Allow Use on Gift Cards
- Allow Use on Products
Step 2: Upload Your File
- From the toolbar, go to More > Discover More
- Select Import & Export from the Users & Security section
- Select Go to import
- Choose an import option
- Select Next
- Upload the file you would like to import
- Select how you would like to import your data, and specify whether or not the file includes column labels
- Select Next to continue
- Map your data by matching the columns in your file to the properties inside TripWorks
- Choose Next
- Enter a name for your import
- Check the box to confirm the data import
- Select Finish Import
You will then see your file import on your Import & Export page, along with any other imported/exported data
If you're importing a larger file, it may take several minutes for the file to import. You can track the status of your data import on the above page. You will also receive a notification once the import is complete.
Step 3: Verify Imported Data
Once the import is finished, navigate to the relevant sections (Guests, Activities, Bookings, etc.) to verify that the data has been imported correctly.
Pro Tip
For a smooth import, review the following:
- Data Cleanliness: Ensure your CSV file is free of errors and duplicates before uploading.
- Field Matching: Pay close attention to the mapping step to avoid mismatched data fields.
- Backup: It’s a good practice to keep a backup of your original data file.
