The Availability Diagnostic Tool helps you understand exactly how availability is calculated for any timeslot. Use this tool to troubleshoot booking issues, verify capacity settings, and see a detailed breakdown of resource usage.
How to Access the Diagnostic Tool
- Enable the Timeslot Editor beta feature (if you haven't already)
- Navigate to Calendar and select the Pencil Icon to the right of the Day View
- Click on any timeslot to open the Details popup
- Click the Run Diagnostic Report button
Understanding the Diagnostic Report
Left Panel: Timeslot Configuration
This section shows the settings that control how availability is calculated:
| Field | Description |
|---|---|
| Experience | The activity or tour being diagnosed |
| Timeslot | The specific date and time |
| Capacity Model | How capacity is determined (Resource-based, Capped per Timeslot, etc.) |
| Assignment Mode | How resources are assigned to bookings |
| Assign Priority | The order in which resources are filled |
| Rollup Model | How availability is grouped by customer/ticket type |
Customer Type Breakdown
Each ticket type (e.g., "1-Hour Rental", "2-Hour Rental") displays its own availability calculation:
Resource Groups Section
- Shows each resource group (e.g., Bikes, Kayaks, Guides)
- Displays total capacity, currently used, and remaining
- Green progress bar visualizes current utilization
Summary Line
- Total Capacity: Maximum guests possible
- Active Bookings: Current number of bookings
Calculation Steps
This is the most important section - it shows the exact math behind the availability number:
Step 1 - Usage Check
- Lists every booking that reduces capacity
- Shows which specific resource each booking is using
- Displays the capacity reduction for each booking
Step 2 - Calculate Remaining Capacity
- Shows the final calculation: Capacity - Used = Available
Unavailable Resources (Warning Section)
If any resources cannot be used for this timeslot, they appear here with the reason:
| Reason | Meaning |
|---|---|
| Time mismatch | Resource is booked during an overlapping time |
| Blocked | Resource has been manually blocked |
| Maintenance | Resource is marked as unavailable |
Common Use Cases
"Why does it show no availability?"
Run the diagnostic to see:
- Are all resources booked?
- Is there a capacity override set to zero?
- Are resources marked unavailable?
"A customer says they can't book but I see open slots"
Check for:
- Customer type restrictions
- Minimum booking requirements
- Resource conflicts with other timeslots
"The numbers don't match what I expect"
The diagnostic shows every booking affecting the timeslot, so you can verify:
- Which bookings are counted
- Whether capacity overrides are applied
- If resources are being shared across timeslots
Tips
- Run the diagnostic after making changes to verify they took effect
- Compare multiple customer types side-by-side to spot discrepancies
- Use the Booking IDs shown in the calculation steps to look up specific reservations
