A group name labels a booking with a title like "Jackson Family Reunion" instead of just the lead guest's name. It's useful for large groups, parties, and corporate or school outings, where the person who booked isn't how your team thinks of the booking.

Where a group name shows up
- At checkout. A Group Name field appears, with the hint "Booking for a company, group, or party? Add a group name to help track this." It's there for online bookings and for bookings your team enters.
- On the trip. The trip uses the group name as its title, and the lead guest's details are still there.
- In reports. Reports that list trips show the group name in place of the guest's name.
Choose where the field appears
Group name is one of four standard guest fields, alongside name, email, and phone. You set it for each activity.
Learn how to manage permission groups
- Go to Setup → Activities and open the activity.
- Open the Custom Fields tab. The page is headed Fields.
- Under Standard guest fields, find the group name row.
- Choose Hidden, Optional, or Required for Online bookings and for Offline bookings. They're set separately.
- Save the activity.
Examples
- A school outing. Make Group Name Required for offline bookings so your team always records the school's name.
- A birthday party. Leave it Optional online and guests can add "Maya's 10th birthday".
- An activity with no groups. Set it to Hidden so the field never shows.
Frequently asked questions
Is a group name a custom field?
No. It's one of the standard guest fields, set on the activity's Custom Fields tab under Standard guest fields. Custom fields are the extra questions you add yourself. See What are custom fields?
Can I require a group name online but not for bookings my team enters?
Yes. Online bookings and offline bookings have separate settings, so each can be Hidden, Optional, or Required.
Do I set it once for the whole account?
No. It's set per activity, so set it on each activity that takes group bookings.
Where do I see the group name after booking?
On the trip, where it's used as the title, and in reports that list trips.
