Setting Up Guide Alerts and Notifications

Configure what updates your guides receive and how they’re notified when a booking changes.

Guide alerts notify assigned guides when key actions happen to a time slot they've been scheduled for—so they can stay informed without having to log in constantly.

How to Configure Guide Alerts

To enable or disable guide alerts for a team member:

  1. Go to Team Members
  2. Select the guide's profile
  3. Choose the Notifications tab
  4. Scroll to the Guide Alerts section

You'll see toggle switches for the following actions:

  • Assigned to a time slot
  • Unassigned from a time slot
  • Reservation made
  • Activity is rescheduled
  • Booking is rebooked
  • Booking is cancelled

Choose how the guide should be notified for each action:

  • Email
  • SMS
  • App push notification

All alert types are optional and can be toggled individually.

 

About Unassignment Notifications

When a guide is removed from a trip assignment, TripWorks can automatically notify them so they know their schedule has changed. The notification includes the trip name, date, and time — giving the guide clear context about which assignment was removed.

This is especially helpful when:

  • Guides are moved between trips during last-minute scheduling changes
  • A trip is being reassigned to a different guide
  • An operator needs to reduce staffing on a particular departure

Without this alert, a guide might show up for a trip they're no longer responsible for. Enabling unassignment notifications keeps everyone on the same page.

Unassignment alerts are delivered through the same channels as other guide notifications — email, SMS, or push notification — depending on what the guide has enabled.

 

Pro Tip

  • Assigning alerts ensures guides know when something changes — especially helpful for last-minute reschedules or cancellations.
  • Enabling the unassignment alert alongside the assignment alert gives guides a complete picture of their schedule changes.
  • Team members don't need full dashboard access to receive alerts — they just need to be added as a guide with notifications enabled.
