Using the Timeslot Editor

Manage capacity, availability, status, and staffing across many timeslots at once in one grid, instead of editing slots one at a time.

The Timeslot Editor is a single grid for managing capacity, availability, status, and staffing across many timeslots at once, so you don't have to open and edit each slot individually. Reach for it when you need to make the same change across a week or a season: raise capacity on a busy weekend, close a range of slots for weather, or find the slots that still need a guide.

Every row is a timeslot and every column is a date. You pick a view depending on what you're managing, select the cells you want, and act on them together.

Open the Timeslot Editor

  1. Go to Calendar.
  2. Select the pencil icon to the right of Day View.

The editor opens on the Capacity view. Switch views with the control in the upper right.

Pick the right view

All five views show the same grid of activities and dates. They differ in what each cell tells you and what you can do there.

  • Capacity shows the maximum bookable spots for each slot (per ticket type). Use it when you're setting or checking how much you can sell.
  • Availability shows the spots still left to book (capacity minus current bookings). Use it to see what's actually still sellable right now.
  • Heatmap shows a color band for how full each slot is. Use it to spot busy versus quiet times at a glance.
  • Status shows the booking status (Open, Private, or Closed). Use it when you're opening or closing slots, for example for weather or private events.
  • Guides shows which guides are assigned, and it's where you staff trips.

Capacity and Availability break each timeslot out by ticket type (for example 1-Hour Rental, 2-Hour Rental, Adult, Child), because those can carry different numbers.

Work across many slots at once

Bulk changes are the whole point of the editor:

  1. Select cells. Click a cell, drag across a range, or click a date column header to grab the whole column.
  2. A bar appears at the bottom showing how many slots you've selected.
  3. Choose the action for that view (for example Edit Capacity Override on Capacity, or Change Status on Status) and apply it to everything selected at once.
  4. Use Clear Selection to start over.

Narrow down what you see

  • Date range lets you step forward and back, or pick a custom range.
  • Filter limits the grid to specific activities.
  • Group by organizes rows by Activity (the default) or, on the Guides view, by Guide.

Staffing on the Guides view

The Guides view is where you manage who's running each trip. You can:

  • Switch between By Activity (rows are activity and time) and By Guide (one row per guide) to see the schedule from either angle.
  • Select slots and Assign guide, or Block out a guide for those dates.
  • Set up a recurring schedule, for example "every Monday and Wednesday," so you don't reassign the same pattern each week.

See why a slot shows a certain number

If a slot's availability looks off, open the Availability Breakdown from the slot's detail popup. It shows the capacity model, the resources involved, and the exact calculation behind the number. It's the fastest way to answer "why is this showing what it's showing?"

Frequently asked questions

Can I change many timeslots at the same time? Yes. Select a range of cells (click and drag, or click a date column header), then use the action bar at the bottom to edit capacity, change status, or assign guides for every selected slot at once.

What's the difference between the Capacity and Availability views? Capacity is the maximum you can sell for a slot. Availability is what's left after current bookings. See availability vs. capacity for more.

Does assigning a guide affect what customers can book? No. Guide assignments are an internal staffing label. They never change availability, capacity, or pricing, and guides never appear on customer-facing tickets.

Why does a slot show a number I don't expect? Open the Availability Breakdown from the slot's detail popup to see the exact calculation behind the number.
