A guide is a team member you can schedule to run trips — a guide, instructor, captain, pilot, or crew member. Marking someone as a guide lets you assign them to timeslots so your team can see who's leading each trip on the calendar and manifest. (If your account uses different wording, "Guides" may appear as "Staff," "Crew," or similar.)

A guide is a team member
Under the hood, a guide is simply a team member with guide status turned on — the same person record your Team Users screen manages. That's why their login, permission groups, and account access are edited in Team Users, not here. The Guides screen owns the guide-specific details: how they appear on the schedule and whether they earn tips.
Add a guide
Select Add guide and choose one of two paths:
- Invite a new team member as a guide — send an invitation to someone new and turn on their guide status automatically. They appear on the schedule once they accept and sign in.
- Enable an existing team member as a guide — pick someone already on your team and flip them to a guide.
Set how the guide appears
Open a guide to edit their guide details:
- Display name & email — synced from their team-member account (edit these in Team Users).
- Title / role label — e.g. "Captain," "Lead Guide."
- Manifest color — colors this guide's trips on the calendar and dispatch board so they're easy to spot.
- Enabled as a guide — when on, they can be scheduled and appear on the board. Turning it off keeps their team-member account intact but removes them from scheduling.
- Tip eligible — include this guide when distributing tips collected on their trips.
Frequently asked questions
Is a guide the same as a team member?
Yes — a guide is a team member with guide status enabled. Their login and permissions live in Team Users; the Guides screen adds the scheduling details (manifest color, title, tip eligibility).
Do guides affect availability or capacity?
No. Assigning a guide is an internal label for who's running a trip — it doesn't change ticket availability or capacity. See Assign a guide to a timeslot.
How do I stop scheduling someone without deleting them?
Turn off "Enabled as a guide." They stay a team member but no longer appear for scheduling.
