Trip statuses

The four trip statuses (Draft, Reserved, Under Review, Deleted), what each one does to your calendar, capacity and reports, and how a trip moves between them.

Every trip has one of four statuses: Draft, Reserved, Under Review, or Deleted. The status decides whether a trip shows on your Calendar and Manifest, whether it uses up capacity, and which automatic messages go out.

Trip statuses may be new to you. Many booking platforms treat a booking as real the moment someone starts it. TripWorks lets a trip exist as a Draft first: the booking is saved, but it doesn't count until it's real. That keeps your Manifest, capacity, and reports clean, lets you follow up with guests who didn't finish, and gives you Under Review for bookings you'd rather confirm by hand.

What each status does

  • Draft. Someone started a booking and hasn't finished. It isn't on your Calendar or Manifest and isn't in your reports. A Draft holds its seats for about 7 minutes while the guest checks out, then releases them.
  • Reserved. The booking is confirmed. It appears on the Calendar and Manifest, counts toward capacity, and appears in your reports.
  • Under Review. An optional status you can turn on per activity. It behaves like a Draft for your calendar, capacity, and reports: it isn't on the Calendar or Manifest, and it doesn't hold seats. See Hold new bookings Under Review.
  • Deleted. The trip was removed by a team member. It's out of your reports and its seats are released, but it stays visible in the Sales list.

Trip status isn't activity or guest status

A trip is the whole reservation, with one confirmation code. It can hold several activities, and each activity has its own guests. Each level has its own status, and they answer different questions:

  • Trip status (this article). Is this reservation real yet? Draft, Reserved, Under Review, or Deleted. It decides whether the trip is on your Manifest, counts toward capacity, and appears in reports.
  • Activity status. Is this activity still on? Booked or Cancelled. Cancelling an activity ends that activity and releases its seats, but the trip stays Reserved, and the cancelled activity shows a Rebook Now button. The Booking Status filter in the Sales list shows this status. See Reschedule, unschedule, or cancel a booking.
  • Guest booking status. Has this guest arrived? Not Checked In, Checked In, No Show, and any you add. See Booking statuses.

So a trip can be Reserved while one of its activities is Cancelled, and a guest on a Booked activity can be a No Show. Booked and Cancelled describe an activity, never the trip itself.

How a trip changes status

  • Draft to Reserved. It happens when a payment is applied, or when a promo or voucher brings the balance to zero. Your team can also select Reserve on the trip. That needs the Allow underpaid/unpaid Trips to be Reserved permission, and the button isn't shown for online Drafts.
  • Draft to Under Review. If the activity uses Under Review, the first payment moves the trip there instead of to Reserved.
  • Under Review to Reserved. Your team selects Reserve once you've confirmed the booking.
  • Back to Draft. A trip can't go back to Draft once it's Reserved or Under Review. To take a guest off, remove their booking or cancel the activity. See Reschedule, unschedule, or cancel a booking.

What happens to messages

  • Draft. For online and AI-assisted bookings, abandoned cart messages can be queued to the trip's contact, if you've turned them on. Bookings entered by your team or a reseller don't trigger them.
  • Becoming Reserved. Any queued abandoned cart messages are removed. The order confirmation is sent if Auto Confirmation is on, and reminders and follow-ups are queued for later.
  • Deleted. All of the trip's queued messages are cancelled.

Deleting a trip

A team member with the Change existing trips permission can delete a trip only while no payment has been applied. Once a payment is on it, the Delete button disappears. Deleted trips show in the Sales list under the Deleted filter, marked with a trash icon.

Alerts

Team members can be alerted about status changes. Open Setup → Team → Users, choose the person, and open Notifications. Two alerts matter here: - E-Commerce Booking Abandoned, for online Drafts that stay unfinished. - Trip status changed to Review, for trips that move to Under Review.

Each can go to the app, email, or SMS. See Set up team member alerts.

Examples

  • A guest starts booking and leaves. The trip stays Draft, isn't on your Manifest, and the abandoned cart message goes out if it's on.
  • A guest pays online. The trip becomes Reserved and the confirmation goes out.
  • Your team books a trip over the phone with no payment. Select Reserve so it shows on the Manifest.
  • A trip was created by mistake. Delete it before any payment is applied.

Frequently asked questions

What is a Draft trip, and why does TripWorks use one?

A Draft is a booking someone has started but not finished. TripWorks saves it so you can see it and follow up, but it doesn't count toward your Manifest, capacity, or reports until it's reserved. Many booking platforms don't have an equivalent.

Why does my trip say Reserved when I cancelled the activity?

Trip status says whether the reservation is real. Cancelling is an activity-level status, so the trip stays Reserved while its cancelled activity shows as Cancelled with a Rebook Now button. A trip has no Cancelled status.

Why isn't a booking on my Manifest?

Only Reserved trips appear on the Manifest and Calendar. If the trip is Draft or Under Review, it won't show until it's reserved. See Why is my trip showing as Reserved?

Does a Draft trip take up capacity?

Only briefly. A Draft holds its seats for about 7 minutes while the guest checks out, then releases them. It never counts as booked.

Does an Under Review trip hold seats?

No. Seats go back to your inventory, so another guest can book them while the trip is under review. Reserving it later checks availability again and can fail if the time has sold out.

Can I change a Reserved trip back to Draft?

No. Remove the booking or cancel the activity instead.

Why can't I delete a trip?

A payment has been applied to it, or you don't have the Change existing trips permission. Deleting is only available before any payment.

Where do deleted trips go?

They stay in the Sales list, under the Deleted filter. They don't appear in reports or on the Manifest, and their seats are released.

Who gets abandoned cart messages?

The contact on an online or AI-assisted Draft, when abandoned cart messages are turned on. Drafts your team or a reseller creates don't trigger them.
